Women’s Board Coordinator

REPORTS TO:  Chief Development Officer
EDUCATION: Undergraduate degree required

MAJOR ACCOUNTABILITIES:
The Women’s Board Coordinator is responsible for management of the Women’s Board, the Joffrey Junior Board.  By working directly with the Women’s Board and Joffrey Junior Board members and sub-committees, the Women’s Board Coordinator is responsible for setting up and attending all meetings, preparing materials and coordinating all follow-up required to maintain and increase membership. This person will manage pre- and on-site event logistics for the Women’s Board and Joffrey Junior Board meetings.  The Women’s Board Coordinator will also work with the Events Coordinator with all special events related to the Women’s Board and Joffrey Junior Board including but not limited to the annual Spring Gala, Couture & Cocktails, and The Nutcracker Family Dinner.  Some evening and weekend work is required as events occur. The Women’s Board Coordinator is also responsible for other development duties as assigned.

DUTIES AND RESPONSIBILITIES:

  • Manage the 170 member Women’s Board and the 17 member Joffrey Junior Board and all associated committees to ensure that strategic and administrative needs for growth are met.
  • Plan and execute all aspects of Women’s Board and Joffrey Junior Board fundraisers and other assigned Joffrey special events in collaboration with the Events Coordinator. 
  • Coordinate and manage details from planning through execution of Women’s Board and Joffrey Junior Board meetings, luncheons, committee meetings and fundraisers; including coordinating the design, printing, and distribution of invitations, meeting agendas and budgets; managing mailing lists;  managing RSVPs, updating acknowledgement letter templates, and handling theatre seating and ticket distribution.
  • Attend and staff all Women’s Board and Joffrey Junior Board meetings, committee meetings and special events.
  • Prepare yearly meeting calendars with Women’s Board President and Joffrey Junior Board leader.
  • Manage and create a yearly Women’s Board directory to be distributed to the membership.
  • Take, transcribe and distribute Women’s Board minutes, to include regular, Executive and Committee meetings.
  • Coordinate Women’s Board communication and follow-up including the table and sponsorship solicitations for all Women’s Board fundraisers, event invitation mailings, meeting minute distribution and membership renewals.
  • Assist the Executive Director, Chief Development Officer, Events Coordinator and Development staff on special projects as required. 
  • Oversee the maintenance of the database (Raiser’s Edge) as it relates to the Women’s Board and Joffrey Junior Board and as it pertains to prospect coding, action step, and call note entry and solicitor list management.
  • Staffing Joffrey Circle Lounge, donor services table and other areas during Joffrey Chicago performances.
  • Providing additional staff support at Women’s Board special events, as needed.
  • Assisting with department mailings, as needed.

Marketing Associate

EXPERIENCE: 2-3 years of experience in marketing, public relations and/or communications preferred.  Non-profit, dance and e-commerce experience a plus. B.A. in communications, English or related field preferred.  Must possess excellent written, editorial, verbal and interpersonal communication skills. Detail-oriented, self-starter and creative writer.  Strong organizational skills, able to work well independently and collaboratively as well as handle multiple projects and deadlines in a fast-paced environment.  The availability to work some evenings and weekends, primarily during performances.  Fluent in Microsoft Word, Excel, and CRM programs.

WORK SCHEDULE: Monday through Friday, 8:30 am-5 pm, additional hours as required.

APPLICABLE PHYSICAL CAPABILITIES: General mobility in office areas.  Ability to lift 20lbs. Ability to operate data processing and other office equipment.

DUTIES AND RESPONSIBILITIES:

  • Develop and implement a comprehensive social media strategy and integrated marketing campaigns to increase visibility and traffic in relation to performances, special events and the Joffrey Academy
  • Manage and expand social media campaigns and day-to-day engagement on current platforms, i.e., Facebook, Twitter, Instagram and Pinterest, including but not limited to writing editorial, advocacy, community-outreach efforts, blog postings, and promotions
  • Develop a presence for other platforms including LinkedIn, YouTube, Google+ , Tumblr, and Yelp focused on audience development, engagement and sales
  • Create social media management standards, policies and rules of engagement
  • Focus on developing relationships with key members of social media outlets, bloggers, and thought leaders. Create a blogger outreach program and develop a brand ambassador network to create buzz and publicity for the Joffrey
  • Develop benchmarks for measuring the impact of social media programs, and analyze, review, and report on effectiveness of campaigns in an effort to maximize results
  • Responsible for developing the content for the Joffrey’s blog 
  • Maintain the Joffrey website and App
  • Coordinate Playbill content
  • Facilitate program content requests from outside presenters
  • Serve as primary liaison with Women’s Board for the Joffrey Store including managing inventory, ordering, merchandising, fulfilling orders and managing QuickBooks
  • Manage the subscriber preferred partner program
  • Proactively contribute to the creativity and efficiency of the marketing department
  • Represent the Joffrey at select performances and events
  • Provide additional staff support at other marketing sponsored special events 

Staff Accountant

EDUCATION and EXPERIENCE:
• Bachelor’s degree in Accounting
• CPA eligible or CPA preferred
• Minimum of 2 years as a Staff or Treasury Accountant, preferably with a nonprofit organization 

EXPERIENCE/SKILLS:
• 2+ years of related work experience
• Blackbaud Financial Edge and treasury experience preferred
• Strong understanding of accounting principles and ability to apply that knowledge while problem solving
• Superb Microsoft Excel skills
• Excellent communication and time management skills
• Detail-oriented and analytical

MAJOR ACCOUNTABILITIES:
The Staff Accountant oversees the organization’s treasury function and creates cash journal entries. Other key responsibilities include completion of month-end tasks related to cash, and filing of taxes. S/he is prepared to assist with other tasks in the Finance Department as needed.
 
RESPONSIBILITIES:
• Maintain bank accounts and act as a liaison between The Joffrey Ballet and financial institutions
• Assist with preparation of materials for short-term financing
• Prepare and file monthly sales & use tax and Amusement Taxes
• Record cash transactions in Financial Edge, and review all batches posted to Financial Edge from Raiser’s Edge, reconciling to bank activity
• Record payroll activity in Financial Edge
• Complete monthly reconciliations for all bank accounts
• Perform quarterly payroll reconciliations and analysis of fees, taxes, etc.
• Complete month-end close responsibilities related to cash accurately and on time
• Assist with preparation for annual audit and provide support during fieldwork.
• Maintain carefully organized files of the company’s financial records according to the document retention policy
• Cross-trained in payroll entry and accounts payable administration

Graphic Production Manager

REPORTS TO: Chief Marketing Officer 
EDUCATION:  B.A. in graphic design

EXPERIENCE:
Expertise in Adobe Photoshop, Illustrator, In Design and all Microsoft Office applications as well as digital video editing software, video compression and internet technologies (HTML, CSS etc.).

MAJOR ACCOUNTABILITIES

The Graphic Production Manager is responsible for the design of print, web and digital platforms for The Joffrey Ballet.

EXPERIENCE: 5+ years of professional print and digital experience required using Mac and PC computers. Must possess strong organizational and communication skills with an ability to manage multiple projects simultaneously.  Knowledge of stage and studio photography a plus. Must be highly creative, flexible, with acute attention to details and deadlines.

DUTIES AND RESPONSIBILITIES

• With input from the artistic and creative team, design all marketing and promotional materials related to The Joffrey Ballet including individual production and subscription marketing campaigns, special events, development, Community Engagement Programs, the Joffrey Academy of Dance, Official School of The Joffrey Ballet, and merchandise for the Joffrey Store 
• Collaborate with Joffrey leadership to create and manage comprehensive design timelines
• Create and edit video content for donor, subscriber, artistic presentations and general company promotion
• Secure print bids and serve as staff liaison to facilitate print jobs
• Work with the artistic and creative team (internal and external) to provide artistic vision and direction for photo shoots

• Responsible for maintaining organized files, updating software and backing up systems in a timely manner

Subscription Sales

Graphic Design Intern

POSITION DESCRIPTION
The Joffrey Ballet is looking for a multi-talented, energetic graphic design intern to join our team. This is an exciting opportunity to work with a world-renowned company at the inception of the creative process through production. This is an unpaid internship. Credit hours are available.

RESPONSIBILITIES
Responsibilities include graphics work that integrates with marketing department’s publicity materials. This position will involve working with the Graphic Production Manager to implement design for The Joffrey Ballet and the Joffrey Academy of Dance, Official School of The Joffrey Ballet.

DESIRED SKILL & EXPERIENCE
2+ years in graphic design program Experience using Adobe CS. Photoshop, Illustrator, InDesign a must. Candidate must have a strong understanding of design concepts and vocabulary, be highly organized, and be available 12-18 hours a week. Candidate must be comfortable working in a team environment and be able to manage time appropriately and handle high-pressure situations. It’s important to be a creative, critical thinker, and embrace new technology and workflows.

Development Internship- Fall 2013

The Joffrey Ballet, located at 10 East Randolph Street, Chicago, is looking for three interns for the Development Department. These are unpaid internships. School credit can be arranged for current university students.

The Development Department is responsible for raising contributed revenue which represents approximately 50 percent of the total revenue realized each fiscal year.  Contributed revenue comes from individuals, corporations, foundations, government sources and special events and in this fiscal year will total more than $6 million.  Members of the development staff interact regularly with members of the Joffrey Board of Directors (the governing body of the institution), and the Women’s Board.

An internship with the Joffrey offers valuable experience working in the vibrant and exciting environment of one of the top ballet companies in the country.  Development Interns will gain an excellent overview of nonprofit fundraising and donor communications, hands-on experience with volunteer board members and special events, practical experience with the Joffrey’s donor database management software, Raisers Edge, and much more.

The Development Department is seeking three interns who have a high attention to detail, strong organizational skills, are self-motivated and team players. These internships are available immediately and will conclude at the end of the calendar year.

The work environment at the Joffrey is fun and supportive while at the same time there are constant demands and frequent interruptions that must be attended to.  There will be many opportunities to interact and partner with every member of the Development Team as well as interact with members of other departments.

Development Interns will work on several large projects that support a specific area of fundraising: direct mail, major donors, corporate or foundation relations, research, etc.  Activities may include preparing materials for solicitations, meetings and events, data entry and analysis and donor stewardship. In addition, interns will work on The Joffrey Ballet’s Couture & Cocktails and Nutcracker Family Dinner plus other development activities as assigned. 

The intern will be supervised by the Director of Special Events, Individual Giving Manager and Institutional Giving Manager. Academy Intern

 

POSITION DESCRIPTION:
The Academy Intern is primarily responsible for assisting with special projects and day to day operations related to the Joffrey Academy of Dance.

The Academy Intern works directly with the Academy Managing Director on all projects. This position also interfaces regularly with the Academy Artistic Directors, all full-time and part-time staff and faculty involved in the educational programs, and occasionally interfaces with staff in the other departments at the Joffrey. The Academy Intern assists at Academy performances, productions and auditions (e.g. Academy winter/spring productions, year-end presentations, auditions, etc.).

ESSENTIAL RESPONSIBILITIES:

  • Help coordinate, organize, market and facilitate communications relating to the National Audition Tour for summer programs and Trainee program
  • Complete research projects for the Academy
  • Assist with Nutcracker Children’s Cast production and Choreographers of Color Award performance
  • Update all written materials from previous years’ programs
  • Interview Trainees for Blog posts and social media content
  • Assist Academy staff with day to day operations, including o Preparing for performances by creating programs, organizing costumes, etc.

                    *Helping to process registrations and following up with families about specific registration questions 
                    *Creating memos and flyers to help advertise classes and boost registration/enrollment o Helping to prepare for meetings and events by organizing materials, taking RSVPs, coordinating with the facilities manager to prepare the space 
                    *Assisting with communications and answering parent/student questions
                    *Assisting with events throughout the term as needed
